Deliverables were to develop and deploy a client facing and a public facing application in the healthcare industry. Product must be maintained in a HIPAA compliant state with strong security protocols in place. Several secure integrations via API needed to be built, tested, and maintained as they supported key product features.

What were the measurable outcomes from the project that demonstrate progress or success?

Our key products were delivered with features performing as intended. We have a live product in production and have been successfully onboarding clients and public users.

The Codelation team has been very responsive throughout this process. Their timelines for delivery have been very transparent and generally delivered on time. When products have not been delivered on time, there have generally been items outside of Codelation's control such as changing product owner requirements or unforeseen issues with outside dependencies.

An example of an outside dependency outside of the control of Codelation which may have caused delays would be outside API vendors. I still have very high confidence that Codelation can delivery products and features on time.

Codelation receives top marks for responding to our concerns as a client in a very timely, transparent, and conscientious manner. When we have seldom run into significant issues during development, the team at Codelation has been very good about finding solutions which are satisfactory. This builds trust.

What did you find most impressive or unique about this company?

I believe that Codelation has a strong process for developing product ideas. This process has evolved somewhat during our years of engagement, but it is a strength, particularly among similar companies in this region. Codelation does have some very strong leadership in place which has prioritized client relationships and built a great deal of trust and goodwill as a result. This is fairly unique.

Are there any areas for improvement or something Codelation could have done differently?

While Codelation does have what I would consider a strong project development process, there have been challenges with staff turnover in the project management and Business Analyst roles. This has led to some additional time for the product owner that would have been avoided with more consistency. However, the general quality of project managers and Business Analysts has been generally high and helped to mitigate the project risks caused by said turnover to a large degree.

Codelation's flexibility and agility were instrumental in ensuring the success of the project. They willingly made adjustments to the initial plan whenever necessary, allowing for a seamless integration of new features and functionalities. What I found most impressive and unique about Codelation is their exceptional ability to foster open communication and effectively understand the needs of the Terrain Group. They have remarkable skills in deciphering and translating our needs, even when we don't explicitly articulate them. Through active listening, thorough discussions, and collaborative sessions, Codelation not only comprehends the stated requirements but also uncovers underlying needs that the Terrain team may not have fully realized or expressed. 

Codelation's approach not only facilitates a strong partnership with the Terrain Group but also ensures the development of a solution that surpasses expectations. Our software has been an essential herd management tool to help beef producers better understand their herd through data. The program needed to be updated from its current software, a program for Windows 2000. 

To serve this need, Codelation developed a web-based application in which users log in via a web browser, to enter, store securely and access data; this eliminates the need to install and use our software on a single computer and allows data access from any location through an internet connection. 

Codelation developed the web app for our sofware. DBeaver (Apache License), an SQL database tool, was used in the development of software into a web-based, cross-platform application (trial version of our software and production version). This update moves our software from a desktop program to a web-based application, eliminating software installation and allowing access to our software from any location with a web browser and internet service. 

The web-based software stores data safely and securely, backing it up in a centralized database. Our online software provides an overview of the importance of keeping good records. Additionally, there is a link for new users to get started with our software as well as existing users to log in to our online version.

Additional links, provide resources for those interested in our software's history and publications. With our previous version, breed entry was done manually. Our online version requires breeds and crossbreeds to be selected from a list of breeds to standardize breeds across users. Additionally, a bull turnout date must be added to the herd before a calf can be entered into this herd. 

The management codes present in our software's previous version are not used in the online version. Instead, aborted and stillborn calves are indicated in the “Birth Circumstance” field when adding a calf. Twin, foster and embryo transplant calves are selected under the “Other Situations” field when adding a calf. Calves that die after birth are culled from the herd (reason culled – died). 

Calves not weighed at weaning can be selected as such under “Weight Type.” Our online software offers a variety of herd reports. The “Calf Performance Report” displays the number of calves born, died and sold as well as averages for calf weight and growth benchmarks; individual calf birth and weaning data are also listed. The “Calving Distribution Table” displays the number of cows presently in the herd and the number of cows leaving the herd (culled) since the selected bull turnout date. 

Additionally, calving data is displayed by cow age and the number of calves born each 21-day period; average birth dates and weaning weights are displayed for each age, as well as totals and average wean weight for each calving period. The Cow Lifetime Progeny Report lists all cows in the herd, including cow data and average calf performance data and individual calf data for each cow. 

The “Herd Performance Comparison” and “NCBA-IRM SPA Summary of Herd Production and Production Performance” list herd performance compared to the five-year benchmarks.

What were the measurable outcomes from the project that demonstrate progress or success?

Codelation was successful in developing the web application. This meant that Codelation successfully build a program that could integrate raw data into existing equations to allow for data analysis within our web app. The site can also generate user reports with several report generators. The program is fully functional for the public to utilize.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Codelation delivered on time and in the case that something required more time they clearly communicated the reason for the delay. They were organized with the use of task management software and were able to describe in detail what we wanted and how that could be accomplished.

Their culture was one that inspired creativity and open communication. They were always effective in communicating and scheduled meetings when they needed more directions. They spent time planning and envisioning our project which made us feel like they cared about the project.

There is nothing comes to mind that Codelation could have improved.

I’m the CEO and lead consultant of Cultivate21. We’re an education consulting company that focuses on teaching other teachers about project-based learning 21st-century skills, and I work with schools all over the US.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Codelation?

I’ve created my own software, and Codelation has been my software developer.

SOLUTION

What was the scope of their involvement?

The software that Codelation helped me develop was for creating project-based learning units. They helped design the first two iterations, and we’re currently using its third iteration.

Initially, I got in contact with Josh (Founder) and he and I built a relationship through the first two interactions of the software. We talked about redesigning the software, what we wanted to make, and then he created a bid for me — I had to decide what I wanted to keep and needed because of the costs.

After that, he assigned me to a team that had a project manager and lead web developer. We had scrum meetings every day to look at the progress of the software, they’d ask questions and demo things, and by the end, we had a fantastic new product. Additionally, there was another member of the team who did the testing, and his job was to pretty much break the product. We met with him several times as part of the scrum to know what he was working on, and what he needed to test the software.

After we’d launch, there were a couple of little fixes that needed to happen once we had people in the software, and Codelation immediately fixed them.

What is the team composition?

There were six people in total who were in and out of the project. The project manager, web developer, and tester were the ones who were almost always at the meetings. Josh would come in sometimes, as well as the lead project manager. 

How did you come to work with Codelation?

We met through a recommendation of a friend. The vendor that my friend recommended couldn’t really help me, so they referred me to Codelation instead. They initially helped me develop the software from the ground up.

How much have you invested with them?

For the three iterations of the software, we roughly spent $47,000.

What is the status of this engagement?

We started in March 2018 and the product launched in June of the same year. They’re still providing us with ongoing support.

What evidence can you share that demonstrates the impact of the engagement? 

Our software currently has 857 users, and 29 districts subscribed to it. 

How did Codelation perform from a project management standpoint?

Codelation performed very well from a project management standpoint. I worked specifically with Meagan (Project Manager) who was on everything, and she knew just when to communicate with me — she was really good at keeping things going. They used Trello to manage the project, which I didn’t have access to, but I could see the progress through that software during our meetings.

They kept everyone in the loop and it was really nice to see tasks move through the completion phase. Apart from Trello, we used Zoom for our daily scrum meetings and basic email.

What did you find most impressive about them?

I just think that they’re real people who I could talk to about where I wanted my software to go. They weren’t judgmental and they supported me to move in the direction where I needed to move as a company. Additionally, the team had a good mix of people, and Josh did a really good job of getting the right people on the bus, to make his company more superior compared to other software developers — I never felt like I was being talked down to.

Codelation didn’t have an ego, and they were there to help me build my brand and company. They helped streamline my process so it can work the way it’s supposed to. I looked at other companies and I felt like they didn’t think my project was large enough for them, but Codelation took smaller projects and felt like I was really important to them.

Moreover, Josh is really active in our small business community, and I’ve always been impressed with his integrity.

Are there any areas they could improve?

I’ve seen a lot of changes in the last three years where I was mainly working with one developer and one project manager. I don’t really know if there would be anything I need to improve because this experience has been really smooth. I know if I needed anything, I can always go back to them and they’ll support me.

Do you have any advice for potential customers?

My advice would be to just be open and honest about your needs and Codelation will be open and honest about what they can provide. If they’re not the right fit, they’re going to help you find the right fit. I have found that they get the right people on the team to serve you and meet your goals.

What was the scope of their involvement?

Codelation has put together a whole team for us, consisting of project managers, developers, and other members. They help us oversee the entire development project and make sure that everything turns out properly. As we scale and gain more revenue, we’ll be developing more features with them. 

Apart from that project, they’ve also built two websites for us. One website is called Where’s The Foodtruck, where people use our platform to find food trucks. Meanwhile, the other website advertises the products we’re selling to food trucks. 

What is the team composition?

We’ve worked with seven people from their team, including three project managers, two developers, and one QA tester. 

How did you come to work with Codelation?

I heard a lot of great things about Codelation from other people who had been doing business with them. As a result, I decided to give them a call and meet with Josh (Founder). I felt good about their services, so I ran with it.

We started the project in October 2020, and our partnership is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

In terms of metrics, we’ve onboarded close to 100 food trucks to our platform after building the website. It’s been so successful that we’ve had to stop onboarding — we’ve had to slow down. 

How did Codelation perform from a project management standpoint?

In terms of project management, the fact that Codelation can take my frustrations and still understand me is crucial because it’s nerve-wracking to be spending money on a project. I may not always say things in the right way when I talk to them, but they always understand and hear me.

To communicate, we use Slack. Every week, we have scrum meetings where they tell me the status of the project and the goals we’ve set. 

What did you find most impressive about them?

Josh is highly transparent; he tells things how they are. Other companies overcharge me and I end up asking where those costs come from. By contrast, Josh keeps things clear and lets me know where their charges are going — he always makes sure I know where we stand. 

Are there any areas they could improve?

No, there aren’t any. They’ve crushed the project for me, so I have no complaints.

Be completely transparent. If you don’t know something, ask questions. They can’t help you if you don’t ask questions.
