I'm the co-founder and CEO of SpexAI GmbH. Our company is currently developing an AI-driven imaging system to streamline cannabis cultivation.

What challenge were you trying to address with *instinctools?

We sought out professionals who could assist us in creating our frontend and backend solutions, specifically to manage our imaging systems and present data in a visual format for our customers.

SOLUTION

What was the scope of their involvement? 

We asked *instinctools to write the whole software regarding steering our camera systems. The overall task was to connect our research partners' software and manual steering with the camera systems and save and load the data.

We needed a user-friendly and intuitive frontend software tool, like a questionnaire. This tool would help guide our research partners through the entire process. Additionally, we required the device to allow annotations on pictures taken by our camera system. The team has been utilizing Figma and Python. 

As a startup, we don't always have tasks for the team. There have been more significant breaks in between when we're fundraising or testing our development, but then we continue to work together. 

More recently, we began a new project to visualize our data, and *instinctools has been developing a map feature to see all the details we're acquiring with our camera system and analyzing our AI. This allows our clients to have a map of their greenhouses, all the details, and actionable insights we give them.

When we embark on a new project, we have thorough discussions with both our team and the team on our side. We establish all necessary requirements and prioritize them accordingly. We keep track of everything using lists or advanced tools. We work through each requirement, review the results, and make any necessary revisions.

What is the team composition?

We work with a team of 2–10 people. The sales executive is my primary contact. The co-founder drives all technical development and constantly communicates with the tech team. We collaborate with a business analyst, senior and junior developers, and a single team lead. 

How did you come to work with *instinctools?

My co-founder was contacted through LinkedIn by them. Later, when we established our company, he remembered the interaction and reconnected with them.

We began working with *instinctools in October 2019, and it's an ongoing collaboration.

What evidence can you share that demonstrates the impact of the engagement?

We're pleased with *instinctools. Their business analysts are exceptional. They serve as the spokespeople between technology and business, representing both sides effectively. 

We work with a time and effort contract, but it's not an open budget. The team is dependable when it comes to managing time and finances, consistently staying within the designated budget.

How did *instinctools perform from a project management standpoint?

Usually, the *instinctools team delivers before the deadline, which is fantastic. 

We use Slack, Jira, and Google Meet for calls for communication. 

What did you find most impressive about them?

I'm most impressed by *instinctools' transparency and open communication. We can quickly get on a call whenever there are issues without any hidden agendas. I appreciate their authenticity. 

Are there any areas they could improve?

Developing software on a project basis can be difficult. As we don't always have the same ongoing project, new teams are assigned to us periodically. Despite having worked with *instinctools for some time, we often have to start from scratch and brief the new team. This can be challenging and frustrating for us. However, we are unsure if this is manageable from their perspective because they have to fill their resources. It isn't necessarily a negative aspect, but that's the only improvement from our side. 

Do you have any advice for potential customers?

When working with a third-party service provider as a client, clearly communicating your expectations is essential. Putting everything in writing and having multiple iterations beforehand can help prevent misunderstandings and manage your expectations. It's best to be proactive to avoid getting caught in a vicious cycle.

I’m a VP of Business Development in a Germany-based company providing IP television services and media products worldwide.

For what projects/services did your company hire *instinctools, and what were your goals?

We hired *instinctools to make the customization of ERP software according to our business needs. The main goal was to integrate the Odoo system to match our business processes and connect the Business Intelligence tool for data analysis and visualization.

After a thorough analysis of our project, they’ve provided us with a profound project estimate, work scope, and roadmap. The company also had the resources we needed for the ERP system development. That’s why we decided to cooperate with *instinctools.

The two key deliverables for this project were the development and customization of Odoo ERP software and BI integration for analytics and data visualization. The *instinctools team analyzed the Odoo business model to make it perfectly match our company's business processes.

For data visualization, the *instinctools team connected various data sources to the ERP system, developed a BI connector for the integration with Odoo, and built custom dashboards for different types of reports in Tableau.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

Though the project is not yet finished, we can speak about some functional outcomes valuable for us at the moment. They have already structured and optimized the processes in sales, finances, logistics, and other departments, making it possible to run these processes “under one roof” of an ERP system.

We were very satisfied with their project management and delivery approach. Working with *instinctools agile development team, having transparent processes and clear communication, we’ve managed to finish delivery phases on time. They also participated in decision-making processes, being a part of our internal team.

What did you find most impressive or unique about this company?

They are very responsive and effective in customizing the system, trying to engineer and offer the best fit solution.

Are there any areas for improvement or something they could have done differently?

I wouldn’t remember anything specific about our cooperation, as we always discuss some minor issues and try to resolve them ad hoc. Maybe they could have optimized the process of developers’ change on the project.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

According to the contract new app to be submitted by mid-January 2021 - it didn't happen. By March-April - the representative of the company said that they won't proceed with native code but do it with extra libraries. If I dislike it - I can fill the sue or do whatever I want as it wasn't clearly stated in the contract. The code they submitted has a lot of bags - a number of phones didn't work properly.

Instincttools said - they don't care about it as they consider several phones is enough to make sure the job was done. As result, a more or less stable application was submitted with 6 months delay. After releasing on commercial traffic - there appeared another amount of bags - which Instincttool declined to fix - asking for extra payments.

It's not a professional software company - it's several sales managers with resale yesterday SW development students which they hired as chip as possible. After a month or two you will not face the same code developers as before - so the result is inappropriate.

What did you find most impressive or unique about this company?

They delivered low-quality work and lacked discipline.

I’m a project manager at a digital agency with over 250 employees. We mostly do mobile and web app development as well as design.

Our company was growing very fast. We were taking on a lot of work with a few big projects, but we didn’t have the resources to scale up our team. *instinctools came in like a savior to increase our delivery capabilities toward our clients.

For the past three years, *instinctools has been our most solid partner when it comes to scaling up our capabilities. We basically try to integrate them within our own development teams, though they’re also running point on a few projects. 

The biggest project they’ve taken the lead on has been a healthcare app for a telecom provider. It’s obvious that they’re doing a very good job there. The team is in direct communication with the client, and we’re confident that they’ll deliver whatever work we give them.

What is the team composition? 

We typically send them an overview of the skill sets that we need for a specific project, and they respond if they have suitable candidates. From there, we do a short interview to see who’s a good fit for our team before signing them on. At our highest point, we’ve onboarded around six people, but the average is 3–5. 

The team breaks down into project managers, business development managers, an iOS engineer, an Android engineer, and a JavaScript engineer. We’ve also worked with a WordPress engineer, but I’m not involved with that project.

How did you come to work with *instinctools?

We were reaching out to European companies to participate in our part-time program, and *instinctools was one of the first to respond. They shared the same work culture as us in the sense that everything was based on performance. Their team understood that it was important for us to be able to trust our partners in terms of both the quality of work and atmosphere, and they matched those needs.

Moreover, they had strong communication skills and were willing to improve on them. That was crucial because all of our developers speak directly to our clients, so we wanted to make sure that our partner could communicate as needed. A lot has changed in the three years we’ve been working together, and they’ve been flexible enough to make changes on their side to fit with our processes.

What is the status of this engagement?

We started working with them in the spring of 2017, and the work is ongoing. We’ve actually signed a contract for 2021 to continue working with the same people and development leads.

What evidence can you share that demonstrates the impact of the engagement?

It’s hard to put direct metrics on their success since they change from person to person. But, I’d take into account that we’ve been working with them for three years strong and have signed another contract.

We also check to see if our clients are happy. Each quarter, we conduct client satisfaction surveys on their work, and they’ve scored 4.6–4.8 out of five for the last two years. It’s clear that our clients are very satisfied with the work *instinctool has done.

How did *instinctools perform from a project management standpoint?

*instinctools’ solid project management team is one of the reasons why we like working with their team. Their developers fit well into our own organizations and deliver all requirements without missing a deadline. If a deadline was moved, it was mostly due to the clients’ own restrictions.

I’d also add that they’ve been extremely flexible and understanding in every situation that we’ve encountered. During COVID-19, we had to adjust our expectations for our clients, and there was an overall uncertainty about what was going to happen. *instinctools stayed adaptable so that we could scale up or down depending on the work. 

What did you find most impressive about them?

It’s their willingness to learn constantly. We’re an agile company that regularly works with new technologies. I’ve noticed that even if we suddenly decide to change a tech stack, I’m met with a proactive attitude rather than resistance. They want to know how something works, what we can do with it, and how it will help us grow. To this day, they’re still willing to adapt and move forward in the face of problems.

Are there any areas they could improve?

No, I’m very happy with the way they perform. They’re always responsive and are never shy about suggesting improvements. It’s an awesome relationship.

There was one case when we needed a developer to work on his spoken English skills, so we mentioned that to their team. They sent him to do a crash course in English, and his speaking skills improved by 40% in just two months. It was something that they reacted to very positively.

Do you have any advice for potential customers?

Treat their developers as part of your own team. It’s not “us” and “them” — it’s the team and what needs to be delivered. *instictools is incredibly responsive to that perspective. Put in the extra effort there, and you’ll see a multitude in your returns.

I’m a product owner for an IT outsourcing company based in Romania. We offer services for various customers from staffing and IT to customer support services. Our main client is a German company that sells tires.

We had to change the system that we used for our shops because it was a very expensive corporate solution. Our company wanted to create an in-house solution, but we didn't have enough resources to build such a platform in a very short time, so we hired *instinctools.

*instinctools was involved in the software development of the new system. However, we’re not currently doing much development or new features. We’ve decreased the usage of the system and their team’s engagement. Our network team has also grown a bit so we’re able to maintain this product with our own resources.

At first, we had a team of around 12 Java developers plus some QA specialists. This year we only had six people involved from their side.

*instinctools contacted someone from our company and offered us their services. Initially, we gave them a small project to make a proof of concept (POC). We were very surprised and satisfied with the results. So, after that, we decided to take them on board for a long-term project.

What evidence can you share that demonstrates the impact of the engagement? 

We were very satisfied with their services, and our clients loved the new system. For instance, a few years ago, our German client bought a system that used custom software, which was difficult to integrate with our client’s backend and warehouses. *instinctools got this job done.

They managed to move around 10 shops and worked for the entire brand — it’s now one of the top-performing brands with shops in Germany and Europe. 

How did *instinctools perform from a project management standpoint?

There were good times and bad times. From time to time, they changed the number of people allocated for the project, which we didn’t like. However, they had many ideas that customers approved and implemented. 

What did you find most impressive about them?

What we always liked about them was they were very invested in the project. They looked for market trends and came up with ideas on how to improve the shops and add new features and functionalities. 

Are there any areas they could improve?

They should have more stable resources for the project. Within five years, the team leader on their side changed three times. The leader also did project management, and every time the leader changed, we had a transition period that was not always easy.

Give them the freedom to innovate because they have the resources to build something good.

I'm an Engineering Manager at a SaaS company out of Toronto, Canada, focusing on customer service automation. My job is to ensure that the implementation of new clients is a scalable and repeatable process.

For what projects/services did your company hire *instinctools?

Our capabilities to integrate with our clients' web pages were excellent. However, we noticed that there was a gap between web and mobile capabilities. Our existing clients had to write a lot of boiler-plate code to integrate our software into their mobile apps.

The prospective clients were asking about an SDK during sales calls. Without having an in-house mobile development team, using a vendor to build an Android SDK was a quick win for us.

What were your goals for this project?

For a company like ours, having a mobile SDK is more like a table stakes rather than a competitive advantage. Therefore, we were trying to reduce the friction points that our larger clients experienced while integrating our software into their mobile apps.

On top of streamlining the mobile integration for our existing clients, we also "checked a box" for our sales team, thus slightly improving our deal win chances.

How did you select this vendor?

Ironically, Instinctools reached out to me on LinkedIn around the time when our procurement was searching for local vendors. For me, there were two decisive factors:

1. Instinctools provided a solid track record of dev hours they already spent developing for mobile platforms, which serves as a proxy for experience.
2. Instinctools is a Belorussian company, and I, having worked with developers from the former USSR countries, have immense respect for their skills, education, and attitude.

Describe the project in detail.

The scope for the project was well-defined, with us providing the systems requirements documentation. The vendor then was responsible for estimation and technical implementation that resulted in the desired business outcomes.

We entirely relied on the vendor's expertise and ability to figure out the best way to implement the SDK functionality. We had frequent touchpoints and were collaborating efficiently to clear all the roadblocks that emerged.

What was the team composition?

The vendor provided two Developers and a Project Manager. Since this was a relatively small project, the team was stable, and there was no overhead on managing the vendor from our end.

Can you share any outcomes from the project that demonstrate progress or success?

For us, the main result is that neither our customers nor we managed to find any issues whatsoever. Not for the lack of trying ;) This outcome lays the foundation for our future work together.

How effective was the workflow between your team and theirs?

The project didn't require a lot of management on my side. Both developers had solid skills and were autonomous. We used Slack to communicate, and the team was VERY responsive, especially outside of their working hours, due to our time difference.

What did you find most impressive about this company?

I was pleasantly surprised that there was no need for hand-holding and project management from our side. This, paired with their understanding of Android development, provides a competitive advantage, especially compared with other vendors that require very detailed specifications.

We were also VERY impressed by their flexibility around the contract wording. Our legal team was adamant about specific changes, and at some point, during the contract negotiations, I thought it was the end of the line. So when Instinctools accommodated our requirements, I was happy, relieved, and impressed.

I’m the technical lead at CANet, a nonprofit healthcare organization. We improve care for patients with cardiac arrhythmias (irregular heart rhythms). We’re designing innovative IT systems for that.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with *instinctools?

We needed to develop an innovative IT system that would streamline workflows associated with cardiac arrhythmia between patients, caregivers, clinicians, and nurses.

SOLUTION

What was the scope of their involvement?

They provide IT services for two projects within the framework of our IT system. They developed custom mobile applications and web portals. There was also a tiny blockchain project.

For the first project, they designed a mobile application with a set of dashboards. It concentrated on patients’ post-myocardial infarction self-management. 

The clinically formulated dashboards had messages for patients. The information included medications as well as medical and lifestyle parameters. Just by looking at the dashboard, the patient would know where they are in their journey.

The second project concerns web and app development. It’s a much bigger project — it’s focused on remote management of patients with implanted cardiac devices. Patients have a station at their home that transmits information about that device (e.g. whether they had shocks) to the clinic. 

We focus on the workflow that happens after the device clinician receives this report from the implanted device. The report is scanned and sent to the doctor. Then, the doctor looks at the report and patient history to determine whether the patient is in OK condition. That information is sent to the patient and the family physician. 

*instinctools created a mobile app for the patients in English and French. They also created a web portal for all the roles in the project. It’s a single login password screen, but each role sees a totally different workplace. There are different screens for patients, clinicians, research coordinators, and device clinicians.

Technologies used include React.js primarily for frontend development to implement the web portal and mobile app. They also use technology that’s specifically for the healthcare industry: a custom backend called Fast Healthcare Interoperability Resources (FHIR). 

What is the team composition?

For the first project, we worked with 15 people on their side. My three points of contact were the account manager, a project manager, and a technical lead. The developers, testers, and QA engineers came and went as needed.

How did you come to work with *instinctools?

They reached out to me through email or LinkedIn, and they looked interesting. I kept their details because I knew outsourcing would be a good model for us. 
When we were deciding on a vendor, we invited them to take part in our RFP. They won the tender.

How much have you invested with them?

We’ve invested $375,000.

What is the status of this engagement?

We started working together in July 2018, and we are still working together.

The first project (involving post-myocardial infarction self-management) lasted six months from July 2018 until December 2018. 

We started the second project (concerning patients with implanted cardiac devices) in November 2018, and the work is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

For the first project, the impact was very significant and positive. We presented it at our annual conference, which is a big Canadian gathering of all the specialists who deal with cardiac arrhythmia. It was extremely well accepted there.

The second project is a workflow optimization that’s going to have a dramatic impact. We’re starting to enroll patients and our target is 2,000 enrollments. 

We’re going to have an impact on clinicians by reducing their cognitive load. At the moment, they spend several minutes figuring out the reports they receive. Our system could provide a dramatic time reduction ( time spent could be reduced to within a minute or two).

When a decision is made, the patient will have the information at the same moment. They won’t have to go through all the paperwork, faxes, and emails. 

How did *instinctools perform from a project management standpoint?

I’m super pleased. Their work is reliable and functional. They take pride in being strong technologists. They walk the extra mile with you. They selected the project methodology consciously and correctly.  They try to understand what the project is about, and they actively suggest solutions. 

They have very good processes, good quality staff, and good project management. I dealt with two project managers and both were excellent. Their project manager runs the agenda for each meeting, which is a huge help for me. Recently, I started introducing their project manager more and more into calls with my colleagues. 

The communication is timely. Their written and spoken communication works well. There aren’t any language barriers. The only thing is, I have to have the meetings in my mornings because of the time difference.

What did you find most impressive about them?

They listen to the context of a problem, and then they actively search and suggest a range of solutions.

They are great at technology, and they take pride in that. They’re not trying to take over our business agenda — they just do what they do. 

Are there any areas they could improve?

If their technical person had better English, I’d be able to loop them in more easily into communication. That way, their technical leads could communicate more.

I’m an executive assistant at Morebis, a Ukrainian-Polish IT company with U.S. management. We offer our clients fully integrated mobile application development. Our team has a wide range of mobile platform capabilities, which allows us to create mobile applications in the most innovative way to maximize device potential.

We received several personal recommendations for *instinctools. After I coordinated extensive interviews with their management and technical team, we hired them because of their skill level and customer satisfaction.
