• Our goal was to build an AI SaaS product to automate patient balance recovery for medical practices. We needed Vebtual to develop a system using AI agents to handle calls, automate payment link generation and tracking, and provide a custom CRM for analytics to replace manual front-desk collections.

Describe the scope of work in detail. Please include a summary of key deliverables.

Vebtual was responsible for the end-to-end development of our SaaS based AI automation platform. They helped us build a scalable, multi-tenant system to serve multiple medical practices independently. 

Deliverables included:

• AI Agent Development: They created custom AI agents that make outbound calls to patients to resolve balances, answer questions, and book appointments
• Management Portal (CRM): A custom dashboard where we upload contact lists, monitor the automation performance, and view real-time call logs and recordings. 
• Payment Automation: The system automatically generates and sends payment links via SMS and Email and tracks successful transactions in the dashboard
• Inbound Receptionist: They also developed an AI receptionist feature to handle inbound queries and bookings. 

They currently handle all maintenance, security updates, and new feature rollouts for our client base.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The pilot launch was highly successful. Deployed across three initial clinics, the AI agents successfully engaged patients and recovered thousands of dollars in aged patient balances, and increased recovery rate by 3.5x saving hundreds of manual labor hours.

They delivered every milestone on time, taking us from a prototype to a full SaaS launch smoothly. They were extremely responsive, addressing our feedback immediately and accommodating new feature requests without friction.
