What specific goals or objectives did you hire reloadux to accomplish?
- When we decided to bring Reloadux on board, Caleida was at a critical inflection point. We had closed our seed funding round and were under real pressure to ship a platform that not only worked well technically but also felt intuitive and trustworthy to the SMEs and marketing teams we were targeting. Our internal team was strong on the AI and backend engineering side, but we had no dedicated product designer. We were essentially asking potential customers to navigate a powerful but visually cluttered dashboard — and the drop-off during onboarding was something we felt every day. Our goals were clear: we needed a complete redesign of our core platform interface, a smoother onboarding experience for first-time users, and a design system we could build on ourselves as we scaled. We also needed our multi-channel agent configuration flow — the part where clients set up AI agents for WhatsApp, Telegram, email, and web — to feel effortless rather than technical. That specific flow was where we were losing the most potential customers during demos.

Describe the scope of work in detail. Please include a summary of key deliverables.
The scope was comprehensive and touched nearly every visible layer of the product. Here's how it broke down: Discovery & Research (Weeks 1–3) Reloadux started by running a series of structured interviews with five of our existing clients and three prospects who had seen a demo but hadn't converted. The findings were eye-opening. Users weren't confused by the AI — they were confused by how to tell the AI what to do. The configuration language was too technical, and the dashboard gave no clear sense of what to do next after logging in. Information Architecture & User Flow Redesign (Weeks 4–6) They rebuilt our entire information architecture from scratch. This meant mapping out every user journey — from first sign-up to active campaign management — and identifying where friction lived. They produced detailed user flow diagrams that our engineering team used as a north star for the next build cycle. UI Redesign of Core Platform (Weeks 7–14) This was the heart of the project. Reloadux redesigned the main dashboard, the lead qualification view, the campaign builder, the AI agent configuration screen, and the analytics overview. Each screen went through at least two rounds of feedback before we signed off. One moment I remember clearly — during our third review session, their lead designer walked us through a redesigned version of the agent setup flow using a simple card-based interface instead of our original form-heavy layout. It was one of those moments where you see something and immediately think: yes, that's it. Our CTO, who is not easily impressed, said it out loud in the call. Onboarding Flow Design (Weeks 12–15) Reloadux designed a new onboarding experience that walked new users through setting up their first AI agent in under ten minutes. They incorporated interactive tooltips, a progress indicator, and a "quick win" structure — guiding users to their first successful lead capture before the session ended. This was a collaborative process. We had strong opinions about what the onboarding should include, and rather than simply executing what we said, the team challenged us on two occasions where they felt our instincts were adding unnecessary steps. They were right both times. Design System (Weeks 13–18) The final and arguably most lasting deliverable was a complete design system — a library of reusable components, typography rules, color tokens, spacing guidelines, and interaction patterns — all built in Figma and handed over in a format our developers could work from directly. This was something we didn't fully appreciate the value of until the first time one of our developers needed to add a new feature page without designer input, and they could do it coherently just by following the system. RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
After launching the redesigned platform, the change was immediately noticeable — not in numbers on a screen, but in how our demos went. Sales calls that previously involved fifteen minutes of explaining where to click became conversations about outcomes. Prospects started asking about pricing before we'd even finished the walkthrough. Our onboarding completion rate improved dramatically — users were reaching their first successful lead capture in a single session rather than abandoning midway through setup. A client in the retail sector, who had been sitting on a decision for six weeks, signed within four days of seeing the new interface during a follow-up demo. Another client — a logistics firm in Portugal — specifically mentioned during their onboarding call that the platform felt "built for them," which is something we'd never heard before the redesign. Internally, the design system cut our development time for new features significantly. Features that used to require back-and-forth with a designer now get built correctly the first time.

Project management was one of the areas where reloadux genuinely stood out. They used a shared Notion workspace to track every deliverable, and we had a standing call every Tuesday where we reviewed progress, flagged blockers, and aligned on the coming week. They also used Loom videos to walk us through design decisions asynchronously, which was incredibly efficient for a team like ours operating across two cities. Did they deliver on time? Yes — consistently. There was one moment in December, right before the holidays, where we came to them with a last-minute request to add a WhatsApp-specific variant of the agent configuration screen, which hadn't been in the original scope. Rather than pushing back or quoting a change order immediately, they absorbed it into the sprint, delivered it within the same week, and addressed the scope conversation calmly and professionally afterward. That kind of responsiveness builds real trust. When we had feedback — sometimes contradictory feedback from different people on our side — they were patient and structured. They'd present options rather than just accepting whichever opinion was loudest in the room. That helped us make better decisions as a team.

What did you find most impressive or unique about this company?
Two things stand out. The first is how deeply they invested in understanding our users before touching any design tool. The research phase wasn't a formality — it genuinely shaped every design decision that followed. When they told us that users found our original agent naming convention confusing, it wasn't an opinion; it was something three separate interview participants had said independently. That evidence-based approach gave us confidence in every decision we made together. The second thing is that they designed for our growth, not just our current state. The design system they handed over isn't just a set of components — it's a scalable foundation. As we add new channels, new agent types, and new analytics views, we're building on something solid. That kind of long-term thinking from a design partner is rare, especially at our budget level.
Are there any areas for improvement or something reloadux could have done differently?
Honestly, the main thing I'd flag is that the initial timeline estimate for the design system was a little optimistic. It ended up taking about two weeks longer than originally scoped, which pushed our developer handoff slightly. That said, the team was transparent about it early and gave us enough notice to adjust our engineering sprint accordingly, so the impact on our overall launch was minimal. If anything, I'd suggest they build in a buffer for that phase as a standard practice. I'd also have loved to have a dedicated mobile review session earlier in the process — some of the mobile-specific interactions for our WhatsApp agent interface required an additional round of revisions that might have been caught sooner with a focused mobile design review midway through the UI phase. Neither of these are significant complaints. Overall, the experience was one of the best vendor relationships we've had as a company
